Metrc (Illinois) updated vehicle management for transporters by adding a new optional “Registration Number” field to vehicle records, effective February 11, 2026 (Bulletin IL_IB_0027). This article explains what changed in Metrc, where the new field appears in transfers and sales deliveries, and what Illinois operators should do to stay audit-ready.
Bulletin details (IL_IB_0027)
Bulletin number: IL_IB_0027
Distribution date: 02/17/2026
Effective date: 02/11/2026
Subject: Addition of Vehicle Registration Number
Reason: Provide the ability to add a vehicle’s registration number to vehicle records.
What changed in Metrc vehicle records
Transporters can now enter a vehicle “Registration Number” directly on the vehicle record in Metrc, alongside existing vehicle details like make and model. Metrc designed this field to support different state-required vehicle identifiers, including registration numbers, certification numbers, or VINs, so licensees can capture the identifier their regulator expects without maintaining separate spreadsheets or “workaround” notes.
Registration Number field rules
Permission required: Users must have permissions to manage Transporters in order to add or edit a vehicle’s Registration Number.
Optional field: The Registration Number is not automatically required at the vehicle record level, but it may be required during certain regulated workflows depending on configuration and state rules.
Format and length: Up to 100 alphanumeric characters.
Uniqueness constraint: The same Registration Number can only be associated with one active vehicle.
Why this matters for Illinois transporter compliance
This enhancement improves data accuracy and audit readiness by keeping the key vehicle identifier inside Metrc, where regulators and internal compliance teams expect to find it.
It also reduces operational friction by eliminating external tracking and manual reconciliation when staff build manifests, enter transporter details, or respond to inspections and audits.
Where the Registration Number appears in Metrc workflows
Transfers (Licensed and External)
For any transfer type (Licensed or External) configured to capture transporter information, the vehicle Registration Number displays in the transfer action window with the rest of the vehicle details. Depending on Illinois requirements and how the transfer type is configured, Metrc may require this field to be completed before the transfer can proceed.
In day-to-day operations, this means dispatch and compliance teams should confirm the correct vehicle is selected for the transfer and that the identifier entered matches the physical vehicle documentation used during transport.
Transfers Hub and manifest visibility
Metrc also shows the vehicle Registration Number in the Transfers Hub within transporter/vehicle information views, improving visibility for teams reviewing outbound and inbound activity.
The transfer manifest displays the vehicle registration information alongside other vehicle details, supporting roadside or facility-level verification and strengthening the paper trail regulators often expect during transport.
Sales deliveries
Sales deliveries display the vehicle Registration Number where transporter vehicle information is shown, ensuring the delivery record aligns with the transporting vehicle’s identifier.
The Sales Delivery Hub was updated to include the vehicle registration information in delivery views and transporter detail sections, helping retail delivery and fulfillment teams validate that the vehicle used matches what is recorded in Metrc.
Practical implications for daily cannabis operations
Vehicle onboarding: When adding a new transporter vehicle (or updating an existing one), enter the applicable identifier (registration number, certification number, or VIN) so it is ready before the next dispatch.
User access control: Confirm the right staff have “manage Transporters” permissions so the identifier can be added and maintained without delays.
Duplicate prevention: Because one Registration Number cannot be tied to more than one active vehicle, standardize how the identifier is entered (spacing, prefixes, capitalization) to avoid accidental duplicates or mismatches.
Inspection readiness: Train drivers and dispatch staff to ensure the identifier in Metrc aligns with the documentation available during transport, since the manifest now surfaces this information more clearly.
Related compliance tooling: labels and ERP systems
While this bulletin focuses on transporter vehicle data, many compliance issues arise where operational records and labeling requirements intersect.
DistruLabels: DistruLabels is a 100% free tool for creating compliant packaging and retail labels, and it helps operators stay aligned with Metrc Retail ID compliance by making it easier to generate and manage accurate, scannable retail labeling workflows.
DistruERP: For larger, multi-department operations that need complete supply chain management, DistruERP is Distru’s comprehensive Cannabis ERP platform designed to connect inventory, production, orders, and compliance processes at scale.
